The meeting ends and the follow-up is already done

You hang up with a client and the second meeting begins, the one nobody sees: cleaning up your notes, creating the tasks, updating the project status and writing the recap email. Twenty minutes if you're fresh. The next day, if you have three calls in a row. And sometimes, never.

That gap between what gets decided in a meeting and what ends up in your system is where most agreements get lost. Not for lack of good intentions, but because it depends on someone remembering.

An agent that starts when the meeting ends

On July 31 Notion added a new trigger to Custom Agents: "Meeting note summarized". You choose which meetings activate it and, as soon as the AI meeting note has its summary, the agent gets to work. Notion gives three examples: updating a project tracker, posting a recap with decisions and next steps, and turning feedback into tickets.

How we would set it up for your client calls

  • Update the client's project status in your hub, with the call date and what was decided.
  • Create the tasks that are on you, with a date and inside the right project.
  • Leave the recap email for the client as a draft. A draft, not sent: you review it in a minute and send it yourself.

That last point matters. At first, let the agent prepare and you confirm. Once you've seen it get things right for a few weeks, you decide whether to give it more autonomy.

What you need first

Whether it works depends less on the agent than on your system: it needs to know where your projects are, what your clients are called and what your tasks look like. If every project lives somewhere different, the agent has nowhere to write. That's why collaboration comes after context. And check what your plan includes: Custom Agents and AI meeting notes aren't on every plan.
